1 Introduction
1.1
Purpose
This document will provide you guidelines to setting up menu items and using
workflow for IBM Cognos Controller.

2 Menu Items
2.1
Definition
IBM Cognos Controller allows you the option to design workflows of specific
controller activities.
2.2
Defining Workflow in Controller
IBM Cognos Controller workflow can be accessed by selecting
Maintain\Workflow Configuration\Define
Steps to setting up work flow
• Click the New button. All fields are cleared for entry. In the Code text
box, enter the workflow or sub workflow code. The code must be an
integer greater or equal to 100000.
• Select the Top Level check box to indicate that the workflow
represents a main workflow, containing sub workflows. The top level
workflow is selected in Personal Defaults.

In the Name - Group and Name - Local text boxes, enter a description
of the workflow or sub workflow in the group and local languages.
In the Image drop-down list box, select the image you want to
associate with the workflow or sub workflow. You cannot associate an
image with a main workflow.
If you are defining a main workflow, select all sub workflows in the
Available list box that you want to include in the main workflow and
click the right arrow to move them to the Selected list box. All defined
sub workflows are located at the bottom of the Available list box.
If you are defining a sub workflow, select all menus in the Available
list box that you want to include in the sub workflow and click the
right arrow to move them to the Selected list box.
Click Save.
-NBIncluded with this document is a listing of the available workflow. The
information will be in the attached Microsoft Excel File.

Customizing Work Flow
You can create your own icons, which you can then use for main groups in
the workflow. Save these icons in .bmp format, size 43 * 43 pixels.
Next, how to actually use your own custom icons – requires a
change to the config.ccr file and assigning your icons to menus.
1. Create a suitable folder for the icons - this must be on each user’s
PC for users which expect to see the icons, e.g. C:\ccricons
2. Place your 43 * 43 pixel BMP file, , e.g. test-icon.bmp, in this fold
3. Navigate to your Application data by doing the following: Start >
Run > %Apppdata%
4. Now navigate to final location in this folder Cognos\ccr and locate
the file ccr.config
5. Copy the file to a backup, theN right click on the ccr.config file and
edit it in Notepad.
Insert the Graphics section below the <profile> tag and above the
<settings> tag.

Save the file and log into Controller.
6. Create a new User Define Workflow Code (must be greater then
99999) and tick Top Level, this does not have an icon.

7. Create a new Menu Item and select the custom icon (see last icon
below), save.

8. Look up the User Defined Workflow e.g. 100002 and from the list
on the left , select the required menu , e.g. Menu 1, then use the
green arrow to transfer it from left to right, save.

9. Go to tab 3 of Maintain > User > Personal Defaults, set the
Workflow Icon View mode and change the default workflow to be the
User Defined one, e.g. 100002. After saving, the custom menu icon
can be seen top left in Controller.
