Introduction

Purpose
This document provides guidelines to create customized automatic journals.

2 Creating customized automatic journals
2.1
Why
Sometimes a business requires specific rules to perform their consolidation.
2.2
Examples
• Non-Equity Eliminations (for example, dividends, provision)
• Re-classifications
• Allocations
• Intercompany profit on sales of assets

3 Example – Own automatic Journal

Set up
Automatic Journal Code – Cannot begin with E or IC or IP
Automatic Journal Type – You can use your own automatic journal type
(only beginning with letters) or existing one.
Level: There is the possibility to change the level where the calculation
should be performed (only valid for predefined and non predefined automatic
journals calculated on period values booked in xdb tables). The default level
is 1.
Category: If you create your own events then you are required to select
category 1 or if the from accounts are IC then category 23 or 24. If you use
existing automatic journal type then you must select the linked category.
Enable Calculation of change in structure – Select this option if E300
(treatment of OB) must handle changes in structures for this automatic
journal.
Alternative Currency Conversion (calculation in all currencies)

Selected: The automatic journal will be calculated and created in local
currency and this journal will then be currency converted.
o Not selected: the journal will be calculated and created in all
currencies. Compulsory if historical rates, company journals booked in
group currency and IC elimination in companies.
There are a number of predefined automatic journals that will keep the
predefined currency conversion and therefore this option is not available:
o E100-E150 is based on values entered in the investment register.

E200-E210 is based on all reported values in all currencies.
E205, E215, E505, E515 and E705 for indirect calculations are based
on reported values and other automatic journals. Therefore, these will
always be based on currency converted values.
o E800 is always calculated on converted values.
No general configuration bookings (Alternative OB method in Controller
2.3):
o Not selected: the system will transfer the net income from previous
year into the accounts specified in the field retained earnings BS in
the general configuration.
o Selected: no updates according to the general configuration (tab
reconcile). All necessary accounts in the general config must then be
included in the control table.
Roll OB Values:
o If selected, the OB of the AJ is rolled forward even if there is OB
account in the control table (first year calculated). Valid for all own AJ
impacting specific P/L accounts. If this option is selected, do not
select No general configuration bookings.
Exclude the automatic journal types from specific consolidation types (new in
8.2):
o Necessary to use this feature if different consolidation types using
different automatic journals as not possible to play with contribution
version at sub group levels
o Works also for IC-type automatic journals

Tax rate: T indicates that the From account must be multiplied by the tax
rate of the country to which the company belongs to (specified in the
company structure)
Change Type: Only for Dutch Method (E6XX)
Automatic Journals Definition
Show: The specific column will be displayed in the control table so that the
user can define the settings.
Default: The default value defined for a certain parameter. If you enter a
default value, the show column must not be selected.
Header text: The text that will appear as the column heading in the control
table for the corresponding parameter.
Mandatory: To force the user to enter a value for this parameter in the
control table. Mandatory must always be combined with Show. If no value is
entered the control table cannot be saved.
NOTE: If you enter a default but you have filled in the field in the control
tables, the default will not store in the table.
5 Automatic Journals - Conditions

Available Conditions
A condition interacts with a coefficient or a condition account. The conditional
tab is directly connected to the Define tab, which means that the defined
condition is valid for a particular automatic Journal.
Available conditions
• None – by default no conditions
• If> or < amount in FROM Account will be compared to the
coefficient. If the condition is met, the result will be booked in
TO Account in the control table.

If * or / , amount in FROM Account will be multiplied by or
divided by the coefficient and the result will be booked in TO
Account in the control table:
NOTE: If there is a Condition Account field in the control table the
FROM Account will then be compared to the condition account, and if
the condition is met (for example, the amount in the FROM
Account>the amount in the condition account) then the result of the
calculation will be booked in the TO Account.

Example of Use:
• Re-classification of negative result of equity to Cost side
(specific AJ at level 2 with AJ 61 (E500) as source; condition
<0)
• Run specific AJ on specific companies (creation of a coefficient
account and condition * , put 1 in data entry in the condition
acc if the AJ must be run)
• Do some allocation with condition * within the same company
When using account condition in an automatic journal, the journal is not
created for the selected Contribution Version, but always takes BASE.
6 Rules and calculation methods
6.1
Rules
A rule is a set of calculation methods depending on the consolidation method
(note that parent is considered as a consolidation method). If you use the CC
indicator the from cy is the counter cy.

Calculation Method
• A calculation method is a combination of amount type and rate
type
• The calculation will be: Amount type if GM indicator=blank,
Amount type*rate type if GM indicator=G, Amount type * (1rate type) if GM indicator=M

Try to use predefined automatic journals
Can use the copy function to copy existing automatic journal
and saving this format as new automatic journal
Put the rule default to avoid having to have different rules in
the same control table
Put the CC indicator as default if used.
Options in the Define tab must be the same for all automatic
journals rules using the same automatic journal , otherwise
you may get an incorrect calculation
