end of the evening.
August Minutes
August minutes and agenda were sent out in an email prior to the meeting, no hard
copies are available tonight. The August 2011 Meeting Minutes were reviewed and
approved. Ed Green motioned to approve the minutes. Christy Thorp seconded the
President’s Report : Jane Robinson
 Jane asked if anyone was interested in being the WPC (Westerville Parent
Council) representative for the WCABC. The meetings are the 3rd Wednesday
morning of each month at the District Office. They typically run from 9:30 to
11:30 a.m. Please let her know if you are interested.
Chip Walston is our new Web Manager. Please let Chip know if you want any
information put on our website, such as upcoming fundraisers.
Reviewed our three main fundraisers. They are:
 Concessions (largest revenue earner)
 Casino Night
 Sports Physicals (scheduled for Tuesday 5/15)
Discussed WCABC Scholarships
 Six scholarships are given out each year.
 We need 3 people on the scholarship committee. One needs to be a
board member, and there cannot be any senior parents on the

so we can submit the scholarship information to the guidance office
by November/December.
Vice President’s Report - Jacqui Hardiman
Casino Night Review
 The first Casino Night steering committee meeting was on September 7.
 We are researching 4-5 different venues.
 Planning on 350-500 people in attendance, so we need a big open banquet
 Four sports still need to assign a representative.
 September 26 will be our first big meeting. We will be setting up sub
committees, choosing chair people, and having general discussion.
 We are ahead of where we were last year and want to keep up the pace.
 Theme will be Mardi Gras, same as last year.
 Looking at different casino operators. Not everyone has the Horse Racing
game and that was popular. Also popular were Black Jack and Beat the
Treasurer’s Report – Janice Conard
Handed out balance sheets for the month to all sports reps present.
Check mailing envelopes have been restocked in Kathy Klosterman’s office.
Deposits turned in by the end of the day Tuesday will be processed and back
in your mailbox by Friday.
Secretary’s Report – Kelly Pollard (no report)
Athletic Director – Andy Ey (not in attendance) Jane Robinson gave update.
All Fall Sports banquet will be held on November 15 at the school.
Asking all sports to attend the awards presentation at 7:45 pm.
Concessions - Ed Green
Concessions going well so far.
Discussed interest in getting a credit card machine for use in concessions.
Christy Thorp talked about a small phone size machine and will get further
information on it. Logistics would need to be worked out and charge per
transaction would have to be considered.
There is a problem with people working concessions and getting their kids in
for free through the concessions door. Needs to be addressed and corrected.
Jane discussed concession guidelines (a copy of this was attached to agenda
email this month). Large sports must work 6 concessions events and small
sports must work 3. In addition to concessions, each sport must also
provide a steering committee volunteer(s) for Casino Night – this is worth
$300 per sport. Large sports must sell 15 tickets to the event and small
sports must sell 8.

Sports Updates
Girls Cross Country – Max & Erma’s night on 9/28.
Boy’s and Girl’s Cross Country – Annual 5k on November 19 at Central.
Looking for runners and walkers. 500 participants last year. Discussed
whether we should open concessions up for the event.
Cheer – Held Kiddie Camp earlier this year, $2500.00 profit. Decided to run
another camp during basketball season.
Girl’s Golf – Have team of four, 3 sophomores and 1 freshman. Have had some
good success and improvement.
Girl’s Volleyball – Undefeated in the OCC. Volley for the Cure coming up on
October 6. Warhawk boards are available to order online – through Athletic
Boosters and Volleyball website.
Girl’s Lacrosse – Head coach resigned last week unexpectedly. Search is on
for a new one.
Boy’s Soccer – A lot of injuries. Big game this week against Gahanna.
Girl’s Tennis – Doing well, tough competition coming up this week. The boys
and girls tennis teams are having their poinsettia sale again this year. Order
forms will come out in October and will be due beginning of November.
Boy’s Baseball – Fundraiser at CiCi’s the 2nd Tuesday of every month, just put
your receipt in the bucket and we will get 10% of the sales. 2nd annual
Spaghetti Dinner will be Saturday, November 5. Tickets are $10.00 and
include dinner and raffle ticket. Raffle prize is an IPad. Antonio’s is catering
and there will also be a silent auction. The baseball bleachers are almost
done. Parents are putting them up to save the $2400 installation charge.
Swimming – Conditioning is going on now. There will be a new member
meeting on Thursday, September 15. The boys team is expecting 20
members this year.
Girl’s Basketball – New coach is in place. Started conditioning and working on
our fundraiser.
Girl’s Soccer – We are 4-2-1 right now and at the top of our OCC bracket.
Football – Off to a great start at 3-0. Suggest pre-purchasing your ticket, in
the athletic office, for the Westerville South game this weekend.
Guest Speaker – Ann Chadwick (Academic Boosters)
Their big fundraiser, The Arts & Crafts Bizarre, is coming up on Saturday,
October 22 from 10 am to 3 pm. Event details are:
 Any booster group can come sell something. Table and tablecloth are
provided if you will provide a baked good.
 Commercial tables are available to businesses.
 1800-2000 shoppers are expected.
 Applications and flyers were left for anyone interested. Please
spread the word!
Motion to adjourn the meeting was made at 8:00 by Luann Davanzo, seconded by
Rob Gray. The next meeting will be Monday, October 10 at 7:00 p.m. in the
commons. Thanks!
